What fleet management software actually solves
Running a fleet is mostly running expiry dates. Insurance expires, the annual safety inspection expires, maintenance drifts past its mileage window, and a traffic fine shows up two months after the fact, once the early-payment discount is gone. Each of those has a date, an owner and a cost when nobody handles it in time.
A spreadsheet stores dates but never warns you. Fleet software stores the dates, warns you before they hit, assigns the task to someone and keeps a record of what happened. In a 40-vehicle fleet that means hundreds of live dates at once.
Ruvi is built around that. It is not a GPS tracker and not an ERP: it is the operating layer that sits on top of both and answers the question of how the fleet is doing today.

Vehicle inventory
Light, heavy cargo and yellow public-service classes. Import by CSV or by photographing registration cards, with full history per vehicle.
Preventive maintenance
Schedules by mileage and by date, with work orders your workshop updates from a link, without creating an account.
Fines and documents
SIMIT polled every 12 hours, RUNT validation when you import the fleet, and insurance alerts at 60, 30, 15, 7 and 1 day before expiry.
Incidents and claims
Drivers report from a phone in under 90 seconds, it works offline, and it produces a PDF the insurer accepts.
Executive reporting
A live dashboard and an automatic monthly report. Ask in plain words and the platform builds the cut.
WhatsApp copilot
Send a photo of a fine and it lands in the system. Ask how many policies expire this month and it answers with the list.
How rollout works
No months-long migration and no consulting engagement. Pilot customers get assisted onboarding for the first six months.
Load the fleet
Upload a CSV of plates or photograph the registration cards. Ruvi validates each plate against RUNT and fills in owner, engine size and service class.
Connect the sources
SIMIT, insurance and inspection records sync every 12 hours. From then on expiries and fines appear on their own, with nobody retyping them.
Decide who gets what
Each alert routes to the person who can act on it: the maintenance lead, the compliance analyst or the driver assigned to that vehicle.
Against the real alternatives
Global platforms are solid in their home market, but they do not query Colombian regulators and they do not bill in pesos. The spreadsheet is cheap until it is not.

Who it is for
The sweet spot is 10 to 200 vehicles. Below ten, a well-kept spreadsheet is still defensible. Above two hundred, there are usually custom integrations and a dedicated team, which is a different problem.
In Colombia that means last-mile operators, corporate transport, local rental companies, construction firms with heavy equipment and public-service cooperatives. They share one pattern: many live dates, few people to track them.
Frequently asked questions
What does fleet management software cost in Colombia?
Ruvi plans run from 8 to 22 US dollars per vehicle per month depending on fleet size, with a custom Enterprise tier above 200 vehicles. The first three pilot customers get six months free in exchange for feedback.
Does it work for fleets under 10 vehicles?
It works, but below ten vehicles the gain over a tidy spreadsheet is usually small. The platform starts paying for itself once the number of simultaneous expiry dates exceeds what one person can hold in their head.
Does Ruvi replace my GPS provider?
No. Ruvi does not do satellite tracking and does not plan to. It integrates with whatever GPS provider you already use and handles the operating layer: maintenance, fines, documents, incidents and rentals.
What happens to my company data?
Isolation is enforced per organization on every database query, with daily encrypted backups. The infrastructure is self-managed, which makes it possible to control which country the data lives in.
Does it handle public-service vehicles?
Yes. Taxis, shared vans, minibuses and buses are supported from day one as their own class, with the specific fields for capacity, route and operating permit.
