Pre-trip inspection checklist: what to include and how to get it done
The pre-trip inspection is the cheapest control there is and the most frequently faked. The problem is rarely the list of items: it is that ticking twenty boxes on paper costs nothing and proves nothing.

What it is actually for
Two things: catching the fault before the vehicle leaves, and recording who checked it and when. The first prevents a breakdown; the second is what matters on the day of the accident.
After a crash, the question from the insurer, the safety authority or the court is whether the vehicle was fit to operate and who verified it. A sheet signed in pencil, with no time and no location, does not answer that.
Items that cannot be missing
A thirty-item checklist gets filled in on autopilot. A twelve-item one with mandatory photos on the critical points gets filled in for real.
- Oil, coolant and brake fluid levels
- Tire condition and pressure, including the spare
- Lights: low beam, high beam, indicators, brake and reverse
- Brakes: pedal travel and parking brake
- Mirrors, wipers and horn
- Seat belts in every position in use
- Valid fire extinguisher and complete first aid kit
- Roadside kit: cones, vest, tools
- Documents on board: insurance and roadworthiness certificate in force
- Visible leaks under the vehicle
- Body damage new since the previous shift
- Cabin and cargo area cleanliness
How to get drivers to do it
Keep it under three minutes
If the inspection competes with departure time, it loses every time. Twelve items with large buttons can be answered while walking around the vehicle.
Mandatory photos at two or three points
Odometer, front left tire and any new damage. The photo carries date, time and location, and that is what makes the record impossible to fill in from home.
Give findings a consequence
If a driver reports a spongy brake and nothing happens, they stop reporting within two weeks. The finding has to create a maintenance item with an owner and a date.
Make it work offline
Many departures happen in yards with no coverage at five in the morning. The inspection has to complete offline and upload later on its own, keeping the real timestamp.

Is a pre-trip inspection mandatory in Colombia?
For organizations covered by the national road safety plan, daily vehicle inspection is part of the expected controls and gets audited. Confirm which level applies to you, because the detail of the requirement changes with fleet size.
What happens if the driver finds a serious fault?
The checklist has to let the driver mark the vehicle as not fit for service. That notifies the fleet lead and records that the fault was reported before operating, not after.
Is a photo of the paper form sent over WhatsApp good enough?
Better than nothing and worse than a digital record. The photo proves the paper exists, not that the check happened at that time or place, and a WhatsApp group is not a searchable archive eight months later.
