Tecnomecanica: when it is due and how to track it across a fleet
For a private car the roadworthiness test is one date a year. For a fleet of forty it is forty different dates, and one slipping is enough to pull a vehicle out of service on the day you needed it most.

When the first one is due, and the rest
The general rule in Colombia is that new private vehicles take their first test from the sixth year after registration, and every year after that. Motorcycles start from the second year.
Public service and freight vehicles enter the cycle much earlier and are tested annually. If your fleet is mixed you cannot run a single mental rule: each service class has its own calendar, which is exactly why expiry dates drift apart.
The date that governs is the one on the current certificate, not the registration date. When a used vehicle joins the fleet, read the current certificate and load that date rather than estimating it.

- Brakes: efficiency and imbalance
- Steering and suspension
- Lights and signaling
- Tires and tread depth
- Exhaust emissions
- Glass, mirrors and wipers
- Chassis, body and leaks
- Safety items: seat belts, extinguisher, first aid kit
How to track it across a fleet
Load the expiry date per plate
From the certificate, not from memory. If you have to do it for forty vehicles, do it once properly: that date drives every alert for the rest of the year.
Alert at 60, 30 and 15 days
Sixty days lets you book the testing center without disrupting operations; fifteen is the last useful warning. Below that you are firefighting.
Schedule against operations, not against the date
A vehicle that runs Monday to Saturday gets tested on its lightest day, not on the last working day before expiry.
Store the new certificate where it can be found
A PDF on the yard manager phone is not an archive. If an officer asks for the document on the road, the driver has to produce it without calling anybody.
Frequently asked questions
What happens if I drive with an expired certificate?
It is a traffic violation that carries a fine and impoundment of the vehicle. On top of that, after a crash, operating with an expired test complicates any claim and the position of the company before the authority.
Can the test be done before expiry?
Yes, and it is worth doing with margin. Showing up on the last day leaves no room to repair whatever fails and present the vehicle again.
How do I track forty different expiry dates?
With a list sorted by date and an automatic warning. Any tool works as long as the alert fires on its own: storing the date is never the problem, remembering to look at it is.
